Frequently asked

Quick answers.

The questions we hear most often on intro calls — sorted by topic, with the long answer linked from the short one.

Getting started

Getting started

How do we get started with Techno Serve?
It starts with a short, no-pressure call to understand your charity, your current setup and where you want to be in a year. From there we scope the work, agree a clear brief and send a fixed proposal — usually within about a week. There is no obligation at the discovery stage, and no sales script on the other end of the call.
How long does it take to get set up on iCHARMS?
For a straightforward charity, a working iCHARMS setup — donor records, funds, donation portal and Gift Aid — is typically live within a few weeks. Larger migrations from an existing CRM take longer, and we plan those in phases so day-to-day fundraising never stops. We map the timeline against your brief before any work begins, so there are no surprises.
Where are you based, and do you work with charities outside the UK?
We are a UK company based in Birmingham and registered in England & Wales, and have worked with charities and organisations for over a decade. Our Gift Aid and HMRC features are UK-specific, but the donor CRM, donation portals, websites and madrasa tools suit charitable and faith organisations anywhere.
Pricing & engagement

Pricing & engagement

How much does it cost to work with Techno Serve?
We work to one of three commercial models: a fixed fee for clearly scoped websites and portals, a monthly retainer for ongoing maintenance, hosting and marketing, and time-and-materials for discovery or bespoke software phases. We do not publish figures because charity budgets and needs vary widely — instead we scope the work with you first and quote against the agreed brief, so you always know the cost before you commit.
Gift Aid

Gift Aid

What does it mean that iCHARMS is HMRC-listed?
HMRC publishes an official list of software products approved to submit Gift Aid claims via Charities Online. iCHARMS appears on that list, which means HMRC has tested and recognised our submission format. For trustees this is a useful third-party signal of compliance and reduces risk during audits and inspections.
What is Gift Aid and how does it benefit UK charities?
Gift Aid is a UK government scheme that lets registered charities reclaim 25p of basic-rate tax for every £1 donated by an eligible UK taxpayer. The donor signs a declaration, the charity records it, and HMRC repays the tax via the Charities Online service. Done properly, it can add a quarter to most fundraising income without any extra cost to the donor.
iCHARMS & donor CRM

iCHARMS & donor CRM

How does iCHARMS compare to other charity CRMs like Donorfy, Beacon or Salesforce NPSP?
iCHARMS is purpose-built for UK charities that need donor management, online donations and Gift Aid in one place, with single-click HMRC submission included. Compared with general-purpose platforms like Salesforce NPSP, the learning curve is shorter and the UK-specific workflows are pre-built. Compared with other UK CRMs, iCHARMS bundles donation portal and Gift Aid more tightly. The right choice depends on your data volume, integrations and team size.
Does iCHARMS integrate with accounting software like Xero?
Yes. iCHARMS has a built-in, one-click integration with Xero. Donations, Gift Aid and fund balances sync straight from iCHARMS into Xero, giving your finance team a complete, reconciled set of charity accounts without double entry or exporting spreadsheets. It means your fundraising system and your accounts stay in step all year round — not just at month-end.
iCharityCMS

iCharityCMS

Can iCharityCMS work with our existing website?
Yes. iCharityCMS is designed for seamless website integration, so you don't have to start from scratch. Organisations can connect their existing website quickly and start using the system with minimal setup, then manage Programs, Projects, Appeals and Campaigns through the drag-and-drop dashboard from day one.
How is iCharityCMS different from WordPress?
WordPress is a general-purpose CMS that you adapt to a charity with plugins, custom fields and developer time. iCharityCMS is the opposite — charity-specific functionality is built in from the ground up. Programs, Projects, Appeals and Campaigns are first-class content types, not workarounds, and the platform is built on modern React technology for speed and reliability. It's designed primarily for UK charities but suits charitable organisations anywhere.
What can the drag-and-drop page builder do?
iCharityCMS uses a visual, drag-and-drop page builder, so your team lays out and edits pages from the dashboard with no code. Alongside the usual building blocks — headings, text, images, buttons, grids — it ships charity-specific blocks: appeal and programme cards, donation bars, impact sections, an embedded Zakat calculator, fundraiser options and seasonal blocks for Qurbani and Eid. There are also database-driven blocks that pull live Programs, Posts and Forms into a page automatically.
What payment methods and giving types does iCharityCMS support?
Donations are native to the platform, not a plugin. It supports one-off, recurring (subscription) and appeal-specific giving through a donation cart and checkout, with payment gateways including Stripe, PayPal, GoCardless and bank transfer. Islamic giving is first-class — Zakat, Sadaqah, Lillah and Fitrana categories, country-wise programme rates and a built-in Zakat calculator.
Is there a donor account area?
Yes. iCharityCMS includes a self-service donor portal where supporters log in to see their giving history, manage recurring subscriptions, download receipts and update their profile — reducing admin for your team while giving donors control over their own giving.
Can supporters run their own fundraising pages?
Yes. iCharityCMS has built-in peer-to-peer fundraising: supporters create their own fundraising pages with a target and their own story, and the donations they raise feed straight back into your appeals and reporting — no third-party fundraising platform required.
How does iCharityCMS connect to the iCHARMS donor CRM?
iCharityCMS syncs two-way with iCHARMS, our donor CRM. Donations taken on the website, along with donor records and content, flow into iCHARMS automatically — so Gift Aid, segmentation, reporting and one-click Xero accounting all work from a single source of truth, with no manual re-entry. Website and CRM come from one partner, as one charity-tech stack.
Is iCharityCMS good for SEO, and can we migrate our existing content?
Yes. The frontend is server-rendered React for fast, search-friendly pages, with per-page SEO metadata, managed redirects and automatic sitemaps built in. Content can be imported when you move across — pages, posts, appeals and projects — and the platform connects to an existing website with minimal setup, so you keep your URLs and search equity.
What is iCharityCMS?
iCharityCMS is our proprietary content management system, developed in-house and built specifically for charities. It works like a modern website builder — with a drag-and-drop page builder and no technical knowledge required — but its core building blocks are the ones charities actually use: Programs, Projects, Appeals and Campaigns, all managed from one dashboard. It's React-based, so the resulting site is fast, reliable and scalable.
Donation portals

Donation portals

Does the donation portal capture Gift Aid at checkout?
Yes. A Gift Aid declaration is built into the checkout flow itself, captured against the donation and synced to iCHARMS — so the claim is ready to submit to HMRC with no extra admin. Islamic donation types such as Zakat, Sadaqah and Qurbani are handled as their own funds, with Gift Aid applied only where it is eligible.
What payment methods can a charity donation portal accept?
Our donation portals accept Stripe, PayPal Giving Fund and GoCardless, plus Apple Pay and Google Pay for one-tap mobile giving and Direct Debit for recurring donations. Every donation — one-off, recurring, Zakat, Sadaqah or appeal-specific — flows straight into iCHARMS with its donor, fund and Gift Aid status, and on into Xero for accounting.
Zakat & Islamic giving

Zakat & Islamic giving

Can iCHARMS handle Zakat, Sadaqah and restricted fund tracking separately?
Yes. iCHARMS supports restricted funds out of the box, so Zakat, Sadaqah, Lillah and other categories can be tracked independently from general donations and reported on at any time. This matters for both Shariah compliance and for trustees reporting against restricted income in statutory accounts.
Mosques & masjid

Mosques & masjid

Can a mosque claim Gift Aid and GASDS through iCHARMS?
Yes. iCHARMS is HMRC-listed for Charities Online submission, so a masjid can claim Gift Aid on declared donations and GASDS (the Gift Aid Small Donations Scheme) on small cash and contactless collections under the threshold, with community-building eligibility tracked per site. Declarations are stored against the donor record, and claims are generated and submitted directly to HMRC.
What can mosque management software do for a UK masjid?
iCHARMS gives a working masjid a single platform for the things that usually live in spreadsheets and cash tins: a household and member registry, Jumuah and weekly collections across cash, card and standing order, building-fund pledges, Madrasah and programme income, and Gift Aid claims to HMRC. Trustees get one reconciled ledger and trustee-ready reports, and donations can sync to Xero for full accounts.
Madrasa & Maarifa

Madrasa & Maarifa

Does Maarifa track Hifz — Sabaq, Sabqi and Manzil?
Yes. Hifz tracking is at the heart of Maarifa. Teachers record each student's Sabaq (new lesson), Sabqi (recent revision) and Manzil (long-term revision) in seconds. The system maintains the revision schedule, highlights students who are falling behind, and turns daily entries into clear progress reports for parents and senior teachers.
How is Maarifa different from a normal school management system?
A general school system can record classes and attendance, but it doesn't understand how a madrasa works. Maarifa is built around the realities of Islamic education — Hifz and revision cycles, halaqah registers, Nazirah, Tajweed and Aalim-course structures, and funding that often blends tuition, sponsorship and donations. It also sits alongside iCHARMS, so a mosque or trust can run its donations and its madrasa with one partner.
What is Maarifa and who is it for?
Maarifa is our madrasa management system, built for Islamic schools, mosque maktabs and Hifz institutions. It handles the day-to-day running of a madrasa — admissions, attendance, Hifz and curriculum tracking, fees and sponsorships, exams, and parent communication — in one place, so teachers and administrators spend less time on paperwork and more time teaching.
Emergency appeals

Emergency appeals

How quickly can we launch an emergency appeal donation page?
For charities already on our stack, a new appeal — landing page, donation flow, suggested amounts and progress bar — can be live within hours, not weeks. Donations are captured against a dedicated restricted fund in iCHARMS from the first gift, so reporting on what was raised and where it went is accurate from the start.
How does iCHARMS track restricted funds for relief appeals?
Each appeal or country programme is a restricted fund with its own ledger in iCHARMS. Donations, allocations, vendor invoices and disbursements all roll up by fund, so trustees and donors can see exactly what was raised and how it was spent — audit-grade, and exportable for finance or onward sync to Xero.
Schools & education

Schools & education

Do you build management software for schools and academies?
Yes. School Whiteboard is our multi-school SaaS platform for trusts and operators running more than one site, with shared infrastructure and managed hosting. For single schools we build fast, Ofsted-aligned websites with the statutory information requirements baked in, plus reliable hosting and ongoing maintenance.
Will our school website meet statutory and Ofsted requirements?
Yes. We build the statutory information requirements into every school website — policies, governance, pupil premium, performance and admissions — and structure it so parents and inspectors can find what they need. Sites are accessible, mobile-first and hosted on managed infrastructure we maintain for you.
Logistics & delivery

Logistics & delivery

Can customers book and track their own shipments?
Yes. LogiBuddy includes a customer booking-and-tracking portal alongside the operations console your team works in — so bookings, dispatch, pickup run sheets, proof of delivery and billing all stay in one connected system. New brands or depots can come online without building from scratch.
What do you build for logistics and delivery operators?
We build LogiBuddy — a complete logistics and delivery platform that books, dispatches, tracks and bills every consignment, with a customer booking-and-tracking portal, live operations dashboards and one-click management reporting. An operator can run several brands or depots from one login, and we host and support the whole platform.
Charity & business websites

Charity & business websites

How quickly can you launch a business website?
Most SME marketing websites go live in a few weeks, not months — a credible, fast, on-brand site with the pages and integrations you need. We then keep it running on managed hosting, so you get a reliable site without internal IT firefighting.
How do you price charity websites?
We work to one of three commercial models: fixed-fee for clearly scoped websites and portals, monthly retainer for ongoing maintenance and marketing, and time-and-materials for discovery or bespoke software phases. We do not publish figures online because charity budgets vary widely; instead we scope the work first and quote against the agreed brief.
Are the websites you build accessible and WCAG-compliant?
Accessibility is built in, not bolted on. We design donor-first sites with proper semantic structure, keyboard navigation, sensible colour contrast and screen-reader support, working towards WCAG 2.1 AA. For charities this widens your reach and helps meet the expectations placed on public-facing organisations.
Hosting & maintenance

Hosting & maintenance

Do you provide managed hosting and maintenance?
Yes. We manage hosting across multiple server environments — currently more than 200 domains — with monitoring, backups, security updates and ongoing maintenance. You get a site that simply stays up, with a UK team to call when something needs attention.
SEO

SEO

How long does charity SEO take to work?
SEO is a steady, long-term investment, not an overnight switch. Most charities start to see meaningful movement within three to six months, with results building over the year as Google trusts your site more. We share clear monthly updates so you can see progress as it happens.
Will SEO actually bring us more donations?
It brings you the right visitors — people already searching Google for the causes you serve or ways to give. Paired with a clear path to donate on your site, that traffic turns into real support. We report on donors and volunteers gained, not just visitor numbers.
Can you guarantee we will rank first on Google?
No honest provider can guarantee a position — Google alone decides the order of results, and it changes constantly. What we can promise is steady, lasting growth using proven, above-board methods, and honest reporting on where you stand and what we are doing next.
What's the difference between SEO and Google Ads or Google Grants?
SEO earns you free listings in the main Google results — it takes time but lasts. Google Ads and the free Google Grant put you in the paid spots straight away, but stop the moment the budget does. Most charities do best with both: ads for quick wins while SEO builds lasting visibility.
Digital marketing

Digital marketing

How do you measure whether charity marketing is working?
We measure the things that matter to your cause: donations raised, new donors, and how many keep giving — not likes and views. Because campaigns connect to iCHARMS, we can show which activity brought in which donations, and report it plainly each month.
Do we need to be on every social media platform?
No. Trying to be everywhere usually spreads a small team too thin. We focus on the few places your supporters actually spend time — often Facebook, Instagram and Google — and do those well, rather than chasing every new platform.
Google Grants & Ads

Google Grants & Ads

Is our charity eligible for the Google Ad Grant?
Most UK registered charities can apply, provided you hold valid charity status with TT-Exchange, run a high-quality website with a clear mission, and do not operate exclusively for political or commercial purposes. Schools, hospitals and government entities are generally excluded. Eligibility is the easy part; the harder part is meeting Google's ongoing rules — keeping a healthy ad click rate and a proper account structure — to keep the grant active.
Support & training

Support & training

What support and training do you provide after launch?
Every engagement includes hands-on training for your team plus written guidance, so staff and volunteers are confident using the system from day one. After launch you have a UK team to contact when something needs attention, and clients on a maintenance retainer get ongoing updates, monitoring and priority support.
How reliable is your hosting, and what happens if something breaks?
We host more than 200 domains across six managed server environments, with monitoring, automated backups and security updates handled for you. If something needs attention you reach a UK team directly rather than an overseas ticket queue — and because we build and host the platform ourselves, fixes do not bounce between separate website, CRM and hosting suppliers.
Data, ownership & migration

Data, ownership & migration

Do we own our website, content and donor data?
Yes. Your content and your donor data are yours. We build and host the site for you, but your charity is the data controller and can export its data at any time. If you ever decide to move on, we help you migrate away cleanly rather than holding your data hostage.
Can you migrate our data from our current CRM or spreadsheets?
Yes. We regularly migrate charities onto iCHARMS from other CRMs, legacy databases and spreadsheets. We map your existing donor records, funds, Gift Aid declarations and giving history across, check the data with you before go-live, and keep the old system available in parallel until you are confident the new one is right.
GDPR & data protection

GDPR & data protection

What are the GDPR basics every small UK charity needs to get right?
At minimum you need a lawful basis for processing donor and beneficiary data, a clear privacy notice, working consent records for marketing, a documented retention policy, and a way to handle subject access and erasure requests. A good charity CRM enforces most of this by default. Trustees remain accountable for compliance even where a software supplier handles the day-to-day mechanics.
NDA & custom projects

NDA & custom projects

Why are some of your bespoke projects not listed publicly?
Several of our custom software builds are delivered under non-disclosure agreements and cannot be discussed publicly. Where this is the case we can usually share anonymised approach and outcome details under a mutual NDA during a discovery call.
